Process Flow

  • All documents that need to be digitised will be packed into boxes and be ready for despatchment to the offsite.
  • Once the documents are collected from the user, the operators will first prepare them by removing any stationery, such as staples, paper clips, and rubber bands that will hinder the digitisation process.
  • When the documents are prepared, they will be digitised at the scan station. High-speed scanners will be used to produce high volume of quality-scanned images.
  • After which, the data from these scanned images will be extracted and classified using FlexiCapture & Recognition Server software. This process is better known as Optical Character Recognition, or OCR, where text from the images can be translated to useful information that is essential for the users.
  • The documents will be validated at the Verification station where any differences between the original and the scanned documents will be corrected to ensure accuracy.
  • When verification is done for all the images, they are ready to be uploaded onto the File Central Repository, also known as the DMS. All the digitised files will be uploaded on to the DMS. Once it is uploaded, users can access the information from their own workstations via the WorldWideWeb.
